AI Implementation · The company brain
We build your business a brain your whole team can open.
An AI without your business written down guesses. It quotes the wrong price, sends the gutter question to the roofing guy, and sounds like a brochure. The company brain is one shared, written record of how your business actually works. The AI reads it before it answers. Your team reads it too.
plain files on your own computer · works with ChatGPT or Claude · backed up nightly on Installed setups
The structure we start every brain from. Yours fills in with your business, and each client's brain is its own set of files.
Why it matters
The difference between a guess and a draft that starts from how you work.
Out of the box, an AI knows the internet and nothing about you. It doesn't know a shingle question goes to one person and a gutter question to another. It doesn't know you never quote over the phone, or that you stopped taking Saturday jobs last spring. Every answer it gives without that is a guess dressed up as confidence.
Write it down once and every draft, every rundown, every reply starts from how you actually work. It can still be wrong, so a person reads before anything goes out. That's the brain. It's the piece that makes everything else in the install useful.
What goes in it
The things a new hire takes six months to learn.
What you sell, and for how much
services · price ranges
Your services, how you price them, what you won't do, and where you work. A draft quote starts from your real price ranges; you approve the number.
Who handles what
routing · your people
Which questions go to which person, who approves what, and who to copy. The AI routes the way your office already does.
How you talk
tone · your words
The phrases you use, the ones you'd never use, how formal you are with a new customer versus a regular. Drafts start closer to your voice; you'll still edit.
Your customers and jobs
context · what's in motion
Who they are, what they've bought, what's scheduled, what's waiting on whom. The context that turns "who is this?" into "the deck job from April."
A log of what it did
its actions · logged for review
Its actions are logged so they can be reviewed: what the AI read, drafted, and sent, day by day. Anyone on your team can check it, and with monitoring, we review it every month.
Who sees what
Everyone can open it. Not everything goes in it.
The point of a shared brain is that the whole team works from the same page: the office, the field crew, the new hire on day one. So we decide with you, during setup, what belongs in the shared part. Pay rates, personal notes, and anything sensitive stay out of it. And remember that when the AI reads something, that content goes to the AI company under your account's terms.
We're not your compliance advisor. Medical, legal, and financial records can fall under rules like HIPAA; get your own counsel's OK before any such record goes near AI. We don't set up AI on systems or inboxes that hold patient health records.
It's yours
Plain files. Not locked to one AI.
Plain written files
Not a black box inside some app. Readable notes on the computer in your office that you can open, print, and edit without us or any AI company.
Not tied to one AI
The brain is plain files, so it moves with you. Scheduled jobs need some re-setup and testing if you change AI.
Backed up nightly
Installed setups back up the brain files nightly to a second location. Connect-only doesn't; keep your own copy. Backups reduce risk; we don't guarantee recovery.
You keep it
If you ever stop working with us, the brain stays with your business. It was always yours.
How it gets built
You talk. We write it down.
You don't fill in templates. We interview you, and your key people if you have them, about how the business runs, then write the first version of the brain ourselves. You read it and correct what's wrong. From there it grows as the business does: a new service, a price change, a new hire's area. The brain is only as current as what it's told.
